Welcome to Convobase
These terms govern your use of Convobase. By creating an account or using our service, you agree to these terms. If you don't agree, please don't use our platform.
We've tried to make this readable and straightforward. Legal agreements don't have to be intimidating—they're just a clear understanding of how we work together.
What Convobase Does
Convobase is a platform that helps you provide AI-powered customer support. Here's what we offer:
- An AI assistant that learns from your content and helps answer customer questions
- A chat widget you can embed on your website
- A dashboard to manage conversations, train your AI, and view analytics
- Integrations with other tools and platforms
- Regular updates and improvements to the service
We're constantly improving Convobase. Features may change, and we might add new capabilities or retire old ones. We'll do our best to notify you of significant changes.
Your Account
Creating an Account
To use Convobase, you need to create an account with accurate information. You must be at least 16 years old. If you're signing up on behalf of a company, you confirm that you have the authority to bind that company to these terms.
Account Security
You're responsible for keeping your password secure and for all activity that happens under your account. If you notice any unauthorized access, let us know immediately. We're not liable for losses from unauthorized account use, but we'll help you secure your account.
One Account Per Person
You can't share accounts or let others use your login. If you need multiple users, add them as team members through your workspace settings.
Acceptable Use
We want Convobase to be a positive tool for everyone. Here's what we expect from you:
Do's
- Use Convobase to provide helpful customer support
- Train your AI with content you own or have permission to use
- Embed our widget on websites you control
- Keep your account information up to date
- Respect other users and our team
Don'ts
- Use Convobase for anything illegal or harmful
- Upload malware, viruses, or malicious code
- Try to hack, disrupt, or overload our systems
- Scrape our service or reverse-engineer our software
- Use Convobase to spam people or send unwanted messages
- Impersonate others or misrepresent yourself
- Train your AI with content that's discriminatory, hateful, or violates others' rights
- Share or resell access to Convobase without permission
- Use the service to compete with us or build a similar product
If we notice violations, we'll usually reach out first to discuss. But we reserve the right to suspend or terminate accounts that seriously violate these rules, especially if they put other users at risk.
Pricing and Payments
How Billing Works
Convobase uses a credit-based system. You purchase credits that get used when your AI answers questions, processes training materials, or performs other AI-powered actions. Current pricing is available on our pricing page.
Payment Processing
All payments are processed securely through Dodo Payments. We accept major credit cards and debit cards. By providing payment information, you authorize us to charge your chosen payment method for all credits you purchase.
Credits and Usage
Credits are consumed based on your usage:
- AI conversations with customers
- Processing and embedding training materials
- Advanced features like analytics and integrations
You can track your credit balance and usage in your dashboard. We'll notify you when you're running low on credits.
Taxes
Prices don't include applicable taxes, which will be calculated at checkout based on your location. You're responsible for paying all taxes related to your use of Convobase.
Refunds
Credit purchases are generally non-refundable. However, if you experience technical issues that prevent you from using the service, contact us within 7 days and we'll work with you to find a fair solution. This might include refunding unused credits or providing additional credits.
Price Changes
We may change our pricing from time to time. If we increase prices, we'll notify you at least 30 days in advance. Credits you've already purchased won't be affected by price changes.
Failed Payments
If a payment fails, we'll notify you and give you time to update your payment method. Your service will continue temporarily, but if payment issues aren't resolved within 14 days, we may suspend your account until payment is received.
Your Content and Data
You Own Your Content
All content you upload—training materials, customer conversations, settings—belongs to you. We don't claim ownership of your data. You keep all intellectual property rights to your content.
Permission to Use Your Content
To provide the service, you grant us permission to store, process, and use your content. For example, we need to send your training materials to AI services, store conversations in our database, and analyze usage patterns to improve the platform.
This permission is limited to operating Convobase. We won't use your content for unrelated purposes or share it with others (except as described in our Privacy Policy).
Your Responsibilities
You promise that:
- You own or have permission to use all content you upload
- Your content doesn't violate anyone's intellectual property, privacy, or other rights
- Your content complies with applicable laws
- You have permission to collect and process data from your customers through our widget
Content Removal
If we receive a valid legal request or notice that your content violates rights or laws, we may remove it. We'll notify you when possible, but we might need to act immediately in urgent situations.
Intellectual Property
Our Property
Convobase—the software, design, logo, branding, and all features—is our property and protected by copyright, trademark, and other intellectual property laws. You get a license to use the service, but you don't own the platform itself.
What You Can Use
We grant you a limited, non-exclusive, non-transferable license to use Convobase as long as you comply with these terms. You can embed our widget on your websites and use our dashboard for your business purposes.
Feedback and Suggestions
We love hearing your ideas for improvements! If you send us feedback or suggestions, we can use them without any obligation to compensate you or credit you. This helps us keep building a better product for everyone.
AI and Accuracy Disclaimer
Here's an important reality about AI: it's powerful, but not perfect.
Convobase uses artificial intelligence to generate responses. While our AI is trained to be helpful and accurate, it may occasionally produce incorrect, incomplete, or misleading information. AI responses should be treated as suggestions, not facts.
You're responsible for:
- Reviewing and monitoring AI-generated responses
- Ensuring responses to your customers are appropriate and accurate
- Training your AI with quality content
- Setting up proper safeguards and escalation procedures
- Complying with regulations in your industry (like healthcare, finance, or legal services)
We're not liable for consequences of AI-generated responses. If you're in a regulated industry or dealing with sensitive matters, implement appropriate review processes before using AI responses.
Service Availability
We work hard to keep Convobase running smoothly, but we can't guarantee 100% uptime. The service is provided "as is" and "as available." We may experience:
- Planned maintenance (we'll notify you in advance when possible)
- Unexpected downtime due to technical issues
- Service interruptions from our third-party providers
- Temporary feature limitations while we fix bugs or add improvements
We'll do our best to minimize disruptions and keep you informed. Check our status page for real-time updates on service availability.
Limitation of Liability
This is the legal part where we talk about what we're responsible for:

To the maximum extent permitted by law, Convobase and its team are not liable for any indirect, incidental, special, consequential, or punitive damages, including lost profits, lost revenue, lost data, or business interruption, even if we've been advised of the possibility.
Our total liability for all claims related to the service is limited to the amount you paid us in the 12 months before the claim arose. If you haven't paid us anything, our liability is limited to $100.
Some jurisdictions don't allow these limitations, so they may not apply to you. This doesn't affect your statutory consumer rights where applicable.
Warranties and Disclaimers
We provide Convobase "as is" without warranties of any kind, express or implied. This includes:
- No guarantee that the service will be uninterrupted, secure, or error-free
- No warranty that results or information will be accurate or reliable
- No warranty that defects will be corrected within a specific timeframe
- No warranty of merchantability, fitness for a particular purpose, or non-infringement
We'll work hard to fix issues and improve the service, but we can't promise perfection. Use Convobase at your own risk.
Indemnification
You agree to defend, indemnify, and hold harmless Convobase and our team from any claims, damages, or expenses (including legal fees) arising from:
- Your use or misuse of the service
- Your violation of these terms
- Your content or data
- Your violation of others' rights or applicable laws
Termination
You Can Leave Anytime
You can stop using Convobase and delete your account at any time from your account settings. We'll be sad to see you go, but we respect your choice. Any unused credits will be forfeited upon account deletion.
We Can Suspend or Terminate
We reserve the right to suspend or terminate your account if:
- You violate these terms
- Your account is used for illegal or harmful activities
- You fail to pay for services after multiple reminders
- We're legally required to do so
- Continuing to provide service would create risk for us or other users
We'll usually try to resolve issues before terminating, unless immediate action is necessary for safety or legal reasons.
What Happens After Termination
After your account is terminated (by either party):
- You lose access to the dashboard and all features
- Your chat widget will stop working
- We'll delete your data according to our Privacy Policy (typically within 30 days)
- Unused credits are forfeited—no refunds unless legally required
- Provisions that should survive termination (like indemnification and liability limits) remain in effect
Changes to These Terms
We may update these terms occasionally as our service evolves or laws change. When we make significant changes, we'll notify you at least 30 days in advance via email or a dashboard notice.
If you don't agree with the changes, you can delete your account before they take effect. Continuing to use Convobase after changes go live means you accept the updated terms.
The "Last updated" date at the top shows when we made the most recent changes.
Dispute Resolution
Let's Talk First
If you have a dispute with us, please contact us first. Most issues can be resolved through friendly discussion. We'll work in good faith to find a solution.
Governing Law
These terms are governed by the laws of the United States, without regard to conflict of law provisions. Any legal action must be brought in the courts located in [Your Jurisdiction], and you consent to the exclusive jurisdiction of those courts.
No Class Actions
You may only resolve disputes with us on an individual basis. You may not bring claims as part of a class action, consolidated proceeding, or representative action.
General Legal Stuff
Entire Agreement
These terms, along with our Privacy Policy, constitute the entire agreement between you and Convobase. They replace any prior agreements or understandings.
Severability
If any part of these terms is found to be unenforceable, the rest remains in effect. The unenforceable part will be modified to the minimum extent necessary to make it valid.
No Waiver
If we don't enforce a provision of these terms, that doesn't mean we waive our right to enforce it later. All rights not expressly granted are reserved.
Assignment
You can't transfer these terms or your account to someone else without our written permission. We may assign our rights and obligations to another company (like if we're acquired).
Force Majeure
We're not liable for delays or failures caused by circumstances beyond our reasonable control, like natural disasters, wars, pandemics, government actions, or major infrastructure failures.
